The Yearly Condition Report allows you to generate a comprehensive summary of all service reports performed for a specific customer within a selected date range. This report is exported as a Word compatible document based on a customizable XML template.


Overview

This function aggregates data from multiple service reports to provide a high-level view of asset conditions and site status over time. It is particularly useful for annual compliance reviews or client performance meetings.


How to Generate the Report

  1. Select Date Range: Upon loading the page, the system defaults to a standard start date and the current date. You can adjust the Start Date and End Date fields to filter the reports.
  2. Verify Available Reports: The screen will display a message: Customer Service Reports Available: [Count]. This confirms how many reports fall within your selected criteria.
  3. Export: Click the Export icon. The system will process the data and prompt you to download Yearly-Condition-Report.doc.

Report Logic and Formatting

The report uses a template file located at Admin\Word Templates\Service Report. The file is called: Yearly Condition Report.xml. It automatically applies the following logic:

  • Pass/Fail Status (*SRF_PF*):
    • The report checks all logic-based questions (PFNA type).
    • If any question in a service report is marked as "Fail", the overall status for that entry is marked as Fail in red text.
    • If no failures are found, it is marked as Pass in green text.
  • Question Answers (*SRA_###*):
    • Specific questions mapped in the template are replaced with their actual answers.
    • Answers matching "Pass" are highlighted in Green.
    • Answers matching "Fail" are highlighted in Red.
  • Site Information: The report automatically includes site details such as street name, suburb, site alerts, and property notes for every visit included in the period.

Technical Configuration

The report relies on specific tags within the XML template to map data:

  • *ROW_SRID_###*: Defines a repeating section for a specific Service Report ID.
  • *SRA_###*: Locates the answer for a specific Question ID.
  • *SITE_STREET*, *SITE_SUBURB*: Site location data.
  • *SERVICE_REPORT_DATE*: The date the individual report was completed.

If the template file Yearly Condition Report.xml is missing from the template folder, the export will fail with an error message. Ensure this file is present and contains the correct *ROW_SRID* tags.
