The Service contract report in Nexus Service Manager provides a comprehensive list of all your self-recurring job that are going to expire within the selected date range. This report is crucial for managing client relationships in job management software and planning future operations.

The date range filter runs off the Last Visit date and the Last Visit date is calculated by the first visit within the job plus the contract length. A new contract should be started by creating a new job instead of adding a visit to an existing job that has an expired contract.

Report Overview

The Service Contracts report displays key information about each service agreement in a clear, tabular format:

  • Filtering Options (Top Bar):
    • All Companies Dropdown: Use this to filter contracts by a specific company or view contracts for all companies.
    • Start Date Picker: Select a start date to display contracts that expire after this date.
    • End Date Picker: Select an end date to display contracts that expire before this date.
    • Go Button: Click "Go" after setting your desired filters to refresh the report.
  • CSV Export:
    • CSV Export Link: Located on the top right, this link allows you to download the current report data into a CSV (Comma Separated Values) file. This is useful for further analysis in spreadsheet programs like Microsoft Excel or Google Sheets.
  • Report Columns:

    The main body of the report is organized into several informative columns:

    • Visit ID: A unique identifier for a scheduled visit related to the contract.
    • Job ID: A unique identifier for the specific job associated with the service contract. Clicking on this ID to open up the job.
    • Service Name: The name or description of the service being provided under the contract.
    • Contact: Displays the primary contact person for the service, their phone number, the company name, and their email address.
    • Site: The physical site address where the service is performed.
    • Contract: The duration of the service contract (e.g., "12 Months", "6 Months").
    • First Visit: The date of the first scheduled visit under this contract.
    • Last Visit: The date of the last scheduled visit under this contract. This is calculated by adding the contract length to the first visit.
  • Sorting Data:
    • You can sort the data by clicking on the up/down arrows next to each column header.
  • Action Buttons (Right-Hand Side):
    • SMS Icon: Click this icon to directly send an SMS message to the contact associated with that service contract.
    • Email Icon: Click this icon to directly send an email to the contact associated with that service contract.

How to Use This Report Effectively

Monitor Contract Expirations: Regularly review the "Contract" and "Last Visit" columns to identify contracts nearing their end, allowing you to proactively contact clients for renewals.

Quick Contact: Utilize the SMS and Email icons for immediate communication with clients regarding their service contracts.
