Accessing the Customer Debtors Report
You can access the Customer Debtors Report by navigating to the "Reports" or "Financials" section of the system and selecting "Customer Debtors Report".
Understanding the Filters
At the top of the Customer Debtors Report, you'll find filters to customize the data displayed:
- All Companies: If your system handles multiple companies, this dropdown lets you select a specific company or view data for all companies.
- All Industries: This dropdown allows you to filter the report by customer industry.
Report Overview
The report provides a snapshot of your accounts receivable, showing how much each customer owes and how long those amounts have been outstanding. Key information displayed includes:
- Balance: The total amount outstanding across all customers.
- Current: The portion of the total balance that is not yet overdue.
- 30 Days: The portion of the total balance that is 30 days past due.
- 60 Days: The portion of the total balance that is 60 days past due.
- 90 Days +: The portion of the total balance that is 90 days or more past due.
Understanding the Columns
The Customer Debtors Report table displays the following information for each customer:
- ID: A unique identification number.
- *: This column may contain icons indicating the status of the invoice.
- First: The customer's first name.
- Last: The customer's last name.
- Cust Code: The customer's code.
- Credit Term: The credit terms offered to the customer (e.g., 14 Days).
- Balance: The total outstanding balance for the customer.
- Current: The amount not yet overdue.
- 30 Days: The amount 30 days past due.
- 60 Days: The amount 60 days past due.
- 90 Days +: The amount 90 days or more past due.
- Statement: Indicates if a statement can be sent to the customer.
- Open Email: Indicates if an email can be sent to the customer.
Navigating and Using the Customer Debtors Report
- Filtering: Use the "All Companies" and "All Industries" dropdowns to narrow down the data and focus on specific subsets of customers.
- Sorting: You can sort the report by clicking on the column headers (e.g., "Last", "Balance", "Current").
- Pagination: If there are many customers, use the pagination controls ("Start Previous," page numbers, "Next End") to navigate through the report.
- Exporting: Click the "Export" button to download the report data. The exported file is likely in CSV format, which can be opened in spreadsheet software.
Using the Report to Manage Debt
The Customer Debtors Report is a valuable tool for:
- Identifying Overdue Amounts: Quickly see which customers have outstanding balances and how long those balances have been overdue.
