Understanding the Filters
At the top of the Debtors Aging Report, you'll find filters to customize the data displayed:
- Display: This dropdown allows you to choose which invoices to include. Common options include "All Unpaid".
- All Companies: If your system handles multiple companies, this dropdown lets you select a specific company or view data for all companies.
Report Overview
The report provides a snapshot of your accounts receivable. Key information displayed includes:
- Balance: The total amount of outstanding invoices.
Understanding the Columns
The Debtors Aging Report table displays the following information for each outstanding invoice:
- Date: The date the invoice was issued.
- Number: The invoice number.
- Cust Code: The customer's code.
- Balance: The outstanding balance for the invoice.
- First: The customer's first name.
- Last: The customer's last name.
- Address: The customer's address.
- Suburb: The customer's suburb
- SMS/Email: Indicates if SMS or Email reminders can be sent to the customer.
Navigating and Using the Debtors Aging Report
- Filtering: Use the "Display" and "All Companies" dropdowns to narrow down the data and focus on specific sets of invoices.
- Sorting: Click on the column headers (e.g., "Date," "Balance," "Cust Code") to sort the report.
- Pagination: If there are many invoices, use the pagination controls ("Start Previous," page numbers, "Next End") to navigate through the report.
Using the Report to Manage Debt
The Debtors Aging Report is a valuable tool for:
- Identifying Overdue Invoices: Quickly see which invoices are outstanding and how long they have been overdue.
- Prioritizing Collection Efforts: Focus on collecting the largest or oldest outstanding balances first.
- Assessing Credit Risk: Evaluate the payment history of customers and identify potential credit risks.
- Improving Cash Flow: By effectively managing outstanding invoices, you can improve your company's cash flow.
- Generating Statements: You can use the data in this report to generate customer statements.
