Accessing Receipt Reports
You can access the Receipt Reports section by navigating to the "Reports" or "Financials" section within the system and selecting "Receipt Reports".
Understanding the Filters
At the top of the Receipt Reports view, you'll find several filters to help you narrow down the receipt data displayed:
- All payment methods: This dropdown allows you to filter by specific payment methods (e.g., Cash, Credit Card, EFT). Selecting a specific method will display only receipts made using that method.
- All Companies: This dropdown allows you to filter receipts by specific companies, if your system manages receipts for multiple entities. "All Companies" will show receipts across all entities.
- Accounts Export: It is not clear what this filter does, but it might be related to exporting data to specific accounting software.
- Start: Use the calendar icon or manual entry to specify the beginning date for the receipt date range you want to view.
- End: Use the calendar icon or manual entry to specify the ending date for the receipt date range you want to view.
- Total Amount: This field displays the sum of all receipt amounts currently shown, based on the applied filters.
- Export: Click this button to export the currently filtered receipt data. The exported file is likely in CSV format, which can be opened in spreadsheet software.
Understanding the Columns
The Receipt Reports table displays the following information for each receipt:
- ID: A unique identification number for the receipt.
- : This column may contain icons indicating the status of the receipt.
- Amount: The amount of the payment received.
- Paid Date: The date the payment was received.
- Invoice Number: The number of the invoice to which the payment was applied.
- Invoice ID: Unique identifier for the invoice.
- Invoice Amount: The amount of the invoice.
- Invoice Date: The date the invoice was issued.
- Receipt Batch ID: An identifier for a group or batch of receipts.
- Payment Method: The method used for the payment (e.g., EFT - Direct Deposit, Cash, Credit Card).
- Comments: Any additional notes or comments related to the receipt.
- Posted: Indicates whether the receipt has been posted to the accounting system.
Navigating and Using Receipt Reports
- Filtering: Utilize the dropdown menus and date pickers at the top to filter the receipts based on various criteria to find the specific information you need.
- Sorting: You can sort the receipts by clicking on the column headers (e.g., "Paid Date", "Amount", "Invoice Number").
- Pagination: If there are more receipts than can be displayed on a single page, use the pagination controls (e.g., "Start Previous," page numbers, "Next End") to navigate through the pages.
- Exporting: Click the "Export" button to download the receipt data for offline analysis or reporting.
