Accessing Employee Assignments
You can access the Employee Assignments section by navigating to the "Scheduling", "Team Management", or a similar section within the system and selecting "Employee Assignments".
Understanding the Filters
At the top of the Employee Assignments view, you'll find several filters to help you narrow down the information displayed:
- All Employees: This dropdown allows you to view assignments for all employees or select a specific employee to see their individual assignments.
- All Assignment Types: This dropdown enables you to filter assignments by type, such as "Meeting", "OHS Training", "Annual leave", "Training", or "Tool box meeting". Selecting a specific type will only show assignments of that category.
- Start: Use the calendar icon or manual entry to specify the beginning date for the assignment period you want to view (e.g. 01/03/2025).
- End: Use the calendar icon or manual entry to specify the ending date for the assignment period you want to view (e.g. 24/04/2025).
- Go: Click this button after adjusting the filters to apply them and update the displayed list of assignments.
Understanding the Columns
The Employee Assignments table displays the following information for each assignment within the selected date range and filters:
- ID: A unique identification number for the assignment.
- Assignment: A brief description of the assignment (e.g., "266 Meeting", "265 OHS Training", "267 Annual leave").
- Date: The date on which the assignment is scheduled.
- Time: The start time of the assignment.
- Hours: The duration of the assignment in hours.
- Employee: The name of the employee assigned to this task or leave.
- Select: A checkbox that allows you to select individual assignments for potential actions (like rescheduling).
Navigating and Using Employee Assignments
- Filtering: Utilize the dropdown menus and date pickers at the top to filter the assignments based on employee, type, and date range to find the specific information you need.
- Sorting: You can usually click on the column headers (e.g., "Date", "Employee") to sort the assignments in ascending or descending order based on that column.
- Pagination: If there are more assignments than can be displayed on a single page, you'll see navigation controls (like "<< Start", "< Previous", page numbers, "Next >", "End >>") to move through the different pages of assignments. The display also indicates the current range of items being shown (e.g., "Previous (0 - 14) of 14 Next").
- Selecting Assignments: Use the checkboxes in the "Select" column to choose one or more assignments. This might be necessary for actions like rescheduling multiple assignments at once (using the "Multiple Reschedule" button).
Creating New Assignments
The "New Assignment" section at the bottom allows you to schedule new events for employees:
- Annual leave: Use the dropdown to select the type of assignment you want to create (e.g., "Annual leave", "Meeting", "Training").
- Days: Specify the number of days the assignment will last.
- Hours: Specify the number of hours for the assignment (this might be automatically calculated based on days for leave, or manually entered for meetings/training).
- Include Weekends: Check this box if the assignment spans across weekend days.
- Once Off / Recurring: Select whether the assignment is a one-time event or if it should recur. If you select "Recurring", additional options for setting the recurrence pattern will likely appear.
- Note: Enter any relevant notes or details about the assignment.
- Add: Click this button to create and schedule the new assignment. You will likely then need to select the specific employee(s) for this assignment on the main list.
