What is the Un-invoiced Jobs Report?
The Un-invoiced Jobs report provides a comprehensive list of all jobs within Nexus Service Manager that have been marked as completed (or reached a stage ready for billing) but have not yet had a corresponding invoice generated. It acts as a crucial checkpoint in your workflow to ensure that all billable work is captured and processed for payment.
Why Use This Report?
This report is essential for effective financial management and administrative workflow:
- Prevent Missed Revenue: It highlights jobs that might otherwise be forgotten, ensuring all completed work is eventually billed.
- Improve Cash Flow: By promptly identifying jobs ready for invoicing, you can speed up the billing process and receive payments faster.
- Workflow Management: It provides administrators or accounting staff with a clear list of jobs needing invoicing action.
- Financial Overview: The report gives a quick snapshot (including a total potential value) of outstanding work yet to be invoiced within a selected timeframe or category.
How to Use the Report
1. Accessing the Report:
Navigate to the Reports section in the left-hand main menu and click on Un-invoiced Jobs.
2. Filtering the Data:
Before reviewing the list, you can use the filters at the top to narrow down the results:
- Technicians: Select a specific technician or leave as "All Technicians".
- Companies: Filter by a specific customer company or view "All Companies".
- Industries: Filter by job industry if applicable.
- Date Range: Specify a Start and End date to see jobs completed within that period. (Based on the screenshot, the default might be the current day.)
- Payment Methods: Filter jobs based on expected payment methods.
- Go Button: Click Go after setting your desired filters to update the report list.
3. Understanding the Report Columns:
- Job: Displays the unique Job Number. Clicking Open will take you to the detailed job sheet for review. The crucial Invoice link next to it will initiate the invoice creation process for that specific job.
- Customer: Shows the name of the customer associated with the job.
- Service: Provides details about the service performed, often including the date, technician, a brief description, and potentially a quoted or standard service cost.
- Service Address: The location where the job was performed.
- Terms: The agreed payment terms for this customer/job (e.g., 7 Days, 30 Days, COD - Cash on Delivery).
4. Reviewing and Taking Action:
- Scan the list for jobs you know are ready for invoicing.
- If you need more details about a job before invoicing, click the Open link.
- When ready to bill, click the Invoice link for the relevant job. This will typically take you to the invoice creation screen, pre-populated with details from the job.
- Repeat the process for all jobs on the list that require invoicing.
5. Checking the Total:
The "Total: $XX,XXX.XX" figure at the top right shows the sum of the potential value of the jobs currently displayed in the filtered list. This gives you an idea of the revenue waiting to be invoiced.
6. Exporting Data:
Use the Export button (usually found near the filters) if you need to download the list of un-invoiced jobs, perhaps for offline analysis or reporting (commonly exported as a CSV or Excel file).
Best Practice
It's recommended to review the Un-invoiced Jobs report regularly (e.g., daily or weekly) as part of your standard administrative or accounting procedures to maintain a healthy cash flow and ensure no billable work slips through the cracks.
